Creating Email Filters and Forwarding Rules in Google Workspace (formerly G Suite) for 811spotter

These directions create a Google Workspace routing rule, which forwards Ticket Confirmation and Member Response emails from [email protected] to [email protected]. The original recipient will continue to receive these emails.

Please use the emails below for routing.

  • USA North (Northern California and Nevada)

Automatically forwarding emails to 811spotter is very simple and involves the following steps:

  • Create a Route, e.g., "811spotter Emails."

  • Choose Inbound emails (incoming messages).

  • Set up an envelope filter to apply only to specific senders, e.g., [email protected].

  • Modify messages to add more recipients, e.g., [email protected].

  • Save the rule.

  • Optional step: forward existing emails through a manually created gmail filter.

Note: Once complete, it takes 24 to 48 hours for the Google Workspace Route to begin working.


Optional Step 6 – Manually forward multiple [email protected] emails to get started with 811spotter

If your company needs to seed the 811spotter system with some emails, follow this optional step to forward emails into the system.

Gmail does not currently support the ability to forward multiple emails to a single email address like [email protected] with one click. To get started with 811spotter, it’s worthwhile spending five minutes to forward several emails into the system.

  • Go to the search box at the top of your gmail window and click on the icon to Show search options.

  • Enter the following details:

Note: There is no need to send emails older than 30 days to 811spotter

  • Click the Search button. This search will result in a list of emails from [email protected] that were sent in the last month.

  • Select the emails you want to forward by checking the boxes to the left side of each email.

  • Right click and select Forward.

Note: this will open multiple gmail windows, so you may want to do only three or four at a time.

  • This step is now complete.
